ACTION
1. Minutes of previous meeting
The minutes of the 1 April meeting were approved.
2. Correspondence
Fendalton School is running a "House and Garden" tour on 1 November & request inclusion of this in CBHS newsletter. Offer to reciprocate with details of our fundraisers in their newsletter (send to Megan Canon, office or Gae Chappell, PTA).

Sth Island Federation Parent Teacher Association Inc. - Invitation to send 1 or 2 representatives to the 1 day seminar and AGM, 10.00am - 4pm on Sunday 18 May at Hoonhay Club, Tankerville Rd. $15 each including lunch. Anyone
3. Lindsay Thorn
Lindsay asked the question "where does the PTA fit in the whole school picture?" The answer was that we want to increase parent involvement in education and to run programmes for parents, perhaps on issues faced in raising teenagers.
Lindsay illustrated (with the beaker & stones) that there is a risk that PTA wanting to do more will overload staff and that something will overflow.
On the other hand, if existing programmes are supported or new initiatives are properly resourced for follow up (not just introduced and left for the school to support) then the PTA’s intention could be very positive.
Ideas discussed:
  • Celia Lashlie’s link with Nelson College, Timaru Boys High & 3 other high schools was mentioned. Perhaps this can be pursued further with Trevor McIntyre when he starts as Head Master.
  • Communication of existing initiatives such as Eliminating Violence
  • Sponsoring "Living with Teenagers" pamphlet ($1 each) to all yr 9 families.
  • Programme preparing yr 13 for going flatting/university/polytech, leases, student loans, enrolling
  • Canteen roster is a good way to see what happens in the school and compare your boys with others (ring the canteen).
  • "Game" programme - 5 weeks, boys and parents
  • Phone trees so that parents can check who son is staying with
  • "Fathers as parents"- could be linked to school health programme
  • Ian Grant - parenting, can initiate networking, then be facilitated by PTA to keep happening.
  • Could survey parents with suggestions for what might be run
4. Canteen volunteers Reimbursing Allowance
The following motion was adopted (Diane Taylor/Russell Parry): "that the reimbursing allowance for the Parents Coordinator (currently Sally Cron) and treasurer (currently Marg Bennett) be increased to $2,000 and $1,000 respectively and that this be reassessed by the PTA annually and should either person relinquish the role".
Joe has requested a report on how the canteen is operated, similar to the report that Margaret Lavery presented to the March 2003 PTA meeting on operation of the uniform shop.
5. PTA fundraising
Joe is to look at other schools fees vs PTA donations in preparation for discussing a possible increase at a future meeting

Treasurer
Payment of $40,500 has been made to the school for the items listed in the minutes of the April meeting. $2,000 has also been paid for construction of new lockers.
$5,000 has been received from the debate. Income is expected from ANZAC day catering, uniforms and canteen. Next months meeting could consider what to do with the balance of money the PTA has available.
June meeting

Headmaster
2002 School magazine has been published; improved format over past years makes it very readable.
Thanks for renovation day attendance.
ANZAC day service was very successful. It was attended by good number of yr 9 boys and old boys. Kilmarnoch group played and Choir sang. Many complimentary letters & phonecalls received.
Paul is organising a Founders assembly to be held on 20 May (school founded 122 yrs ago). 8.40am start as it is at normal school assembly time.
First 15 won first(?) game, plays the curtain raiser for All blacks 28 June game (Steve Fraser manages the team).
Thanks to Joe for his assistance with the yr 9 parent interview evening. There are 3 more in the next few weeks.
Staff who wanted them have had flu injections.
SARS notice has been sent home and put on web site. Has link to Ministry of Health site.
Competitions: Australian Science; 300 word essay "my dream is" with $10K prize!; Korea Armistice essay.

Education Review Office report has been received by Board and will be circulated.

Should be on the ERO web site (www.ero.govt.nz, Note Ian has looked and it is not yet there, the latest one is 1999).
School 125th anniversary is in 2006. Looking for projects around the school to coincide with this. A possibility is to establish a hardship fund.
Trevor Grice "The Great Brain Robbery" good reading on effect of drugs.
More recognition is to be given to the 30 or 40 nations from which the boys come. Flags to be purchased. Could raise flag on national day of that nation.
Any boy caught smoking has to write a 300 word essay, reduced if talk to health nurse. Stood down for second offence.
Food technology (cooking) - School & Polytech talking with possibility of course at polytech next year.
Ministry has accepted start on concept preparation for technology block.

Hostel
Diane Taylor advised that the hostel is full (126 boys). A data projector has been purchased, assisted by donations from parents of boys at the hostel. Joe expressed his thanks to the hostel boys who helped with clean up at the yr 9 parents evening.

Te Kura Trust
Paul is to forward Ian’s letter to Murray Mowatt (Trust Secretary) advising of Russell and Sharyn’s election last month as representatives to the Trust.

Russell Parry advised that the Trust has a values of $1.8m

Renovation day
Mark Robertson advised that 60 to 70 people attended the successful day. There were food & financial donations by people unable to attend and these were also appreciated. A thanks to these people is to be made in the next newsletter

Catering Committee
The motion (Corinne/Ian): "that the catering committee account is closed and that the treasurer takes responsibility for finances for the committee" was adopted.

Need more helpers for next years ANZAC day. However this year was excellent mix of solemnity & enjoyment, compliments to Paul McW for his organisation.

Board of Trustees
Tim Andrews elected as Chairperson and Debbie Dawson as vice-chairperson.
Trevor McIntyre has been advised of the dates of future PTA meetings as he may have an opportunity to attend.
Ian attended the board Annual meeting on behalf of the PTA

Parents Forum
Linda, Chris, Joe and Russell are to meet to develop possible actions to bring back to the next meeting, following the discussion at this meeting with Lindsay Thorn.

The meeting approved (Russell/Joe) "the construction of a unit (on wheels similar to that in the uniform shop) for storing the (disappearing) PTA catering equipment". Russell to discuss with Jim & have it constructed. Russell
7. Other business
There was some discussion of the need for the PTA and volunteers to know that good processes are in place for handling of money by the Uniform shop, Canteen and catering committees (businesses?).
Web site updates - Paul is taking action on these, has a staff member under training
