PTA Rules

Adopted 6 April 2004

  1. NAME

    The name of the Association shall be "The Christchurch Boys' High School Parent Teacher Association"

  2. PURPOSE

    The purpose of the association is to:
    1. Promote co-operation amongst all people interested in the wellbeing of Christchurch Boys' High School.
    2. Advocate and support improvements at the School.
    3. Sponsor and assist in fostering progress in post primary education.
    4. Either alone or in co-operation with any other body or bodies to raise funds and to apply any funds available towards the objects included in these rules.
    5. Provide social networking opportunities for parents and teachers
    6. Do anything else for the good of the school, its pupils or the teachers.

  3. HEADQUARTERS

    The address of the Association shall be the School but all correspondence shall be addressed care of the Secretary of the Association.

  4. MEMBERSHIP

    Any parent or guardian of an enrolled pupil of the school may become a member on payment of the Annual Donation and by requesting their name to be included on the membership list maintained by the secretary. Membership shall continue so long as the member pays the Annual Donation and retains their name on the membership list. The Headmaster and other teachers on the staff of the School shall be ex-officio members. With agreement from any general meeting, any other person may also join the PTA or may be co-opted for the year.

  5. RESIGNATIONS

    Any Member wishing to resign from the Association shall inform the Secretary.

  6. HONORARY LIFE MEMBERSHIP

    Any member may, at an Annual or Extraordinary General Meeting, be elected an Honorary Life Member of the Association.

  7. DONATION

    The annual donation shall be set by the PTA in November each year to apply from the beginning of the following school year. No donation is required from any teacher of the school. The financial year of the Association shall commence on the first day of January each year and membership donations shall become due on that date. The January date is to enable time for a financial Audit to be carried out for reporting to the Annual General Meeting.

  8. OFFICERS

    The following officers of the association shall be elected at the Annual General Meeting:
    • President
    • Vice President
    • Secretary
    • Treasurer
    The above officers together with the Headmaster and one member of the teaching staff as ex-officio members shall comprise the Executive Committee.

  9. EXECUTIVE COMMITTEE

    The Executive Committee shall meet as often as the President or Secretary may think necessary. An Executive Committee meeting shall also be convened by the secretary at any time upon request in writing of three members of the Executive Committee. Three members of the executive present at an Executive Committee meeting shall constitute a quorum.

    The Executive Committee shall have authority to make decisions on behalf of the PTA between general meetings, to fill vacancies occurring in any office until the next Annual General Meeting and to appoint an honorary auditor. Decisions made by the Executive Committee shall be reported to the next general meeting.

  10. ANNUAL GENERAL MEETING.

    The Annual General Meeting of the Association shall be held each year at such time and place as the Executive Committee shall decide.

  11. ORDINARY GENERAL MEETING.

    Ordinary General Meetings shall be held approximately monthly during the school year, at such time and place as agreed at a general meeting.

  12. EXTRAORDINARY GENERAL MEETING.

    The Executive Committee may, whenever it thinks fit, and shall upon a requisition in writing signed by a quorum of members of the Association, convene an Extraordinary General Meeting of the Association by twenty-one days notice setting forth briefly the business for which the meeting is called. A requisition by members requiring the Committee to call an Extraordinary General Meeting shall state precisely the purpose of the proposed meeting. At an Extraordinary General Meeting no business shall be transacted except that for which the meeting has been called.

  13. QUORUM FOR MEETING

    20% of the membership list as maintained by the secretary, or five members, whichever is the greater, shall constitute a quorum at any Annual General Meeting, Ordinary General Meeting or Extraordinary General Meeting.

  14. VOTING

    At any Annual General Meeting, Ordinary General Meeting or Extraordinary General Meeting all questions shall be decided by a majority of the members present; either on the voice or on demand by any member by a show of hands or by ballot. In the event of voting being even the President has casting as well as deliberative vote at any meeting.

  15. SUB COMMITTEES

    The Executive committee shall have power to appoint Sub-Committees to conduct any special activities of the Association including power to appoint as members of such Sub-Committee any member of the Association whether or not such member is a member of the Executive Committee and appointment of any member of such Committee may be revoked by the Executive Committee at any time and. each sub-committee shall at all times be under the control and direction of the Executive Committee. The President shall have the right ex-officio to attend or be represented at any meetings of a sub-committee.

  16. FUNDS

    A current account and accounts for funds not immediately required shall be kept at a local bank and this account shall be operated on by the Headmaster, President, Vice President and Treasurer, any two of whom may sign withdrawal slips or cheques. Any other investments must be authorised by a general meeting.

  17. DISPOSAL OF PROPERTY

    In the event of the Association being wound up, its assets shall be utilised towards the benefit of Christchurch Boys' High School.

  18. INTERPRETATION

    The decision of the Executive Committee on the interpretation of the foregoing rules or any matter not contained herein but pertaining to the Association and its interests shall be conclusive and binding on all members unless such decision is revoked at a general meeting.

  19. ALTERATIONS TO RULES

    No alteration of or addition to these Rules shall be made except at an Annual General Meeting, or at an Extraordinary General Meeting, and then only in pursuance of a notice of motion in writing to the Honorary Secretary, who shall give twenty-one days' notice of such motion to the members.
